Providence Health & Services Administrative Assistant 3 in Beaverton, Oregon
Providence St. Joseph Health is calling an Administrative Assistant for our Providence Health Plan team located in Beaverton, OR.
In this position you will have the following responsibilities:
Provides comprehensive administrative support to the leadership team; schedules meetings; maintains calendars; collects and distributes meeting materials, mail distribution, filing and organization of invoices for budget tracking and ordering.
Composes and types correspondence, memos, agendas, minutes, presentations, overheads and powerpoints with little or no guidance. This may involve obtaining, organizing and planning suitable presentations and arranging print jobs and distribution.
Designs and maintains department website and preparation of documents for ProvLink.
Establishes and maintains a system for indexing, updating and tracking departmental policies and procedures. Distributes new and revised documents.
Coordinates travel arrangements for medical directors, directors, managers and staff.
Coordinates with appropriate areas and IS on all issues related to telephones, computers, software, and cubicle seating arrangements and parking. Coordinates procurement and repair of pagers and cell phones within the department. Actively participates in space planning activities.
Required qualifications for this position include:
High School diploma.
Five years of work experience as an administrative assistant including thorough knowledge of administrative support procedures.
Thorough knowledge of software applications (e.g. Word, Outlook, Excel, PowerPoint, ShrarePoint).
Preferred qualifications for this position include:
Associate degree or equivalent education.
Experience as an administrative assistant in a health related field.
Experience in medical terminology or insurance.
Demonstrated success in compiling clear, accurate and complete meeting minutes from fast paced meetings that address a variety of subjects.
Strong organizational, prioritization and project management skills.
Excellent interpersonal and communication skills (oral and written), with a consistent regard for tactfulness and confidentiality.
Proven ability to generate timely and accurate results in response to general supervision from multiple individuals.
Proven ability to work collaboratively in a fast paced, team oriented environment.
Knowledge of confidentiality and HIPAA privacy rules and regulations in a healthcare setting.
Ability to operate in an environment with a great deal of latitude for independent judgment and decision making.
Ability to provide a high level of integrity due to the level and number of contacts, internal and external, with constant exposure to highly confidential information.
